This Privacy Policy describes how Qiana ("we", "us") processes personal data when you use our Discord application, website at qiana.qinaii.de, and related dashboard services.

Discord account data: When you sign in or add the bot, we receive your Discord user ID, username, avatar, and guild IDs where you have permission to manage the bot.

Server configuration: Settings you choose per guild (modules, moderation rules, events, voice settings).

Premium entitlements: If you purchase a subscription through Discord, we store entitlement IDs, SKU IDs, guild or user IDs linked to the subscription, active status, and expiry dates as provided by Discord.

Technical data: IP address, request timestamps, and logs needed for security and operation of our API (short retention).

We process data to provide and operate the bot, authenticate dashboard access, enforce premium features, prevent abuse, and comply with legal obligations. Where required under GDPR, processing is based on contract performance, legitimate interests (security and service improvement), or consent where applicable.

Discord: Our service integrates with Discord; their privacy policy applies to data Discord processes: discord.com/privacy

Supabase: Premium entitlement records are stored in Supabase (EU-hosted infrastructure where configured). Supabase acts as a processor under our instructions.

Hosting: Website and API are hosted on servers we operate or rent within the EU/EEA where possible.

We keep data only as long as needed for the purposes above. Entitlement records remain while a subscription is active and for a reasonable period after for accounting and disputes. Logs are deleted on a rolling basis (typically within 30 to 90 days unless required for security investigations).

Under GDPR you may request access, correction, deletion, restriction, portability, or object to processing. You may lodge a complaint with a supervisory authority. Contact: contact@qinaii.de

Qiana is not directed at children under 16. We do not knowingly collect data from children.

We may update this policy. The current version is always published at this URL. Material changes will be noted on the homepage or via Discord where appropriate.
